PTSO Board Roles and Responsibilities

Board positions are an opportunity to make a difference at CRRE. Each role serves for a minimum of one year. Elections for board positions are held during the last PTSO meeting of the year.

President

  • Coordinates passive fundraiser opportunities (such as Box Tops, Frys Rewards, AmazonSmile)

  • Coordinate vendors and ensure oversight of vendors on campus (such as for Kona Ice after school)

  • Coordinate PTSO sponsorship opportunities

  • Ensure fundraiser awareness stickers are distributed to classrooms

  • Participate in main fundraiser committee

  • Find additional fundraising opportunities such as Butterbraids, Cookie Sales, or similar

Vice President – Events

  • Oversee all community building events, encourage volunteer involvement, utilize committees for event planning & carrying out.

  • Utilize signup genius to encourage parent volunteerism

  • Past events have included:

    • Meet the Teacher Night

    • Boohoo-Woohoo breakfast

    • Fall Festival/Monster Mash

    • Mid-Year Family Fun

    • Spring Carnival

    • Quarterly Doughnut Mornings

Vice President – Hospitality

  • Organize and oversee all faculty and staff hospitality,  encourage volunteer involvement, create committees when possible:

  • Utilize signup genius to encourage parent volunteerism

Treasurer

  • Plan, approve and maintain budget, maintain bank accounts and financial records using QuickBooks, file taxes, pay bills, ensure proper use of money.

  • Prepare monthly report using Excel

  • Ensure proper money procedures are followed as stated in the bylaws and standing rules.

  • Collect, verify, deposit money, distribute income

  • Connect with staff regarding payments for teacher reimbursements and grants

  • Prepare cash boxes for events

Secretary and Marketing

  • Record proceedings including votes, conduct correspondence for organization, log membership information.

  • Prepare agenda for Board and General meetings

  • Distribute minutes to Executive Board and membership

  • Maintain PTSO book of records

  • Document memberships and volunteers, email the distribution list as appropriate.

  • Greet parents and guests at our PTSO able at Meet the Teacher Night

  • Maintain the public identity, creation of publicity materials and digital communications to reach parents and community in timely relevant manner.

  • Use a free online software (Canva) to create visual posts and flyers

  • Post to social media like Facebook and Instagram, reply to responses

  • Perform minor website maintenance

  • Distribute flyers both by print and through online software (Peachjar)

  • Create event posters and advertising as needed
